Event Approvals in Saudi Arabia: Who Signs Off an Inflatable Installation
Event approvals are layered: a municipal site permit through Balady, registration or licensing for larger events, and a General Entertainment Authority permit where there is an entertainment programme. Ask the organiser which approvals cover the supplier’s equipment. The supplier's contribution is the same everywhere: a scaled drawing with the inflated dimensions and footprint, the material specification, the blower's electrical details and the fixing or ballast method. Ask the organiser which authorities they are submitting to and what they need from the supplier, then brief production with that list before cutting starts.

The layers

For a supplier this matters less as a legal map and more as a scheduling fact: several bodies may need the same drawing, and each has its own turnaround. One request for documentation late in production can cost more days than the production step it interrupts.
What is asked of the inflatable itself
A scaled drawing of the piece with inflated dimensions, footprint and clearances, so the site can be checked for walkways and exits. The material: Double-layer PVC for general construction, 0.5 / 0.6 / 0.7 mm PVC mesh where the structure carries load or spans further.
The air system as a specification rather than a word. The 650 W electric pump moves 1,600–2,000 L/min at 2.0 psi and suits smaller spheres, compact displays and short-duration indoor installations; the 1600 W electric pump moves 4,800–5,200 L/min at 4.5 psi for large-format structures, arches and continuously inflated outdoor displays. Both run on 110–240 V, 50–60 Hz.
How the piece is secured: ground fixing, ballast or frame, with anchor points on the drawing. Suspension points, if any, are built into the seams during production.
Season and timing
Riyadh Season runs from October into March, Founding Day falls on 22 February and Saudi National Day on 23 September, and retail and entertainment campaigns cluster around them. LEAP, the Kingdom’s technology event, fills the Riyadh Exhibition and Convention Centre in Malham and draws large stand builds.
That window is when venues, contractors and freight are all busiest, so the practical deadline is earlier than the arithmetic suggests. Working back from Saudi National Day on 23 September, that means approving artwork by early July for a complex piece shipped by sea, or by early August for air freight.
Language and labels
Arabic or English is normally workable for approval files, and drawings and labels can be prepared in either. Confirm with the organiser which one the authority files in.
What to send for a quote
Product type, target size, the venue and city, indoor or outdoor position, the event dates, print-ready artwork, quantity, and the organiser's document list if it exists yet. For a Riyadh Season activation, include the operating hours: a piece running twelve hours a day for four months is specified differently from a three-day stand piece.
